Independent garage servicing: keeping the right evidence

An independent garage invoice can be an important part of a car’s history. The right question is what work the evidence establishes and where it was recorded—not whether every record appears in one place.

Ask how the workshop records the service

Before the work, ask whether the workshop will issue an itemised invoice and whether it can record the service in the relevant manufacturer system. Ford and Volkswagen both describe routes by which eligible independent repairers can record work. That does not mean every garage uses those routes for every vehicle.

After the work, ask what was actually recorded. Keep the invoice regardless of whether a separate digital entry was made.

Keep the detail that makes an invoice useful

Check the vehicle identification, date, mileage, workshop details and description of the work. If a separate job mattered to you, make sure the wording explains it rather than relying on a general service label. Ask the workshop to correct genuine administrative errors through its own process.

Parts and labour descriptions can help a later workshop understand what happened. They should not be rewritten by an owner to sound more comprehensive. Keep the original document and any later clarification together.

Understand why one database may be incomplete

A digital search can only return the records available to that source. Work held in a workshop’s own records or on an invoice may not appear. Equally, the presence of a digital entry does not automatically explain every item performed at that visit.

When selling, supply the evidence from both sources and label it clearly. Avoid claiming that an uploaded invoice has been independently authenticated unless that has actually happened.

Store documents without sharing unnecessary personal details

Save invoices you are entitled to retain, removing personal details about previous owners that the next reader does not need. Do not upload another person’s account credentials, payment-card information or unrelated private correspondence.

My Garage is designed for a private owner file. Add each service with its date, recorded mileage and supporting invoice so that future questions can be answered from the evidence.

Use the schedule and condition as separate checks

A workshop’s name does not establish whether every requirement was met. Compare the work with the correct schedule for the car and use a qualified inspection for current condition. That approach gives the invoice its proper value without asking it to prove more than it can.
